SUMMARY

Under the responsibility of the Community and Partnerships Project Manager, the incumbent will contribute to the smooth running of Zú’s operations of the community and of the co-working office space.


RESPONSIBILITIES

  • Answer all questions from customers about Zú’s services, as well as the various activities and events that take place in our spaces.

  • Make necessary reservations.

  • Ensure that activities in the spaces run smoothly.

  • Deal with tenant complaints.

  • Prepare onboarding documents for new customers.

  • Conduct the meet-and-greet for new customers (and make sure COVID guidelines are respected).

  • Use the software provided for this purpose to prepare customer tours in advance, according to your superior’s requests.

  • Respond to customer inquiries by phone, email, in person and by any other means of communication used by the organization.

  • Follow up on customer requests.

  • Work with the entire team to identify and exceed guests/customers’ expectations.

  • Carry out various administrative tasks inherent to the concierge service.

  • Answer customer calls, resolve problems and inform the maintenance department when necessary.

  • Assist and guide customers and ensure their complete satisfaction.

  • Respond adequately, promptly and professionally to queries from the website.

  • Make sure that the meeting rooms are restored to perfect condition after each rental.

  • Walk about the tenants’ premises to answer their questions and needs.

  • Ensure that supplies (e.g. coffee, cleaning products, hand sanitizers) are well stocked, otherwise ask the Marketing and Customer Experience Coordinator to place an order.

  • Perform other related tasks.

  • Ensure the cleanliness of the spaces.

  • Ensure that all customers respect the safety rules that are in place.


QUALIFICATIONS AND EXPERIENCE

  • Experience in customer service

  • Experience in concierge services (an asset)

  • Excellent organizational skills

  • Ability to multi-task, prioritize and effectively manage time

  • Resourcefulness and excellent stress management

  • Professional behaviour and presentation

  • Facility with the Office Suite

  • Excellent oral and written communication skills in English and French

  • Available to work evenings and weekends, in accordance with opening hours
